Configuring Marketo Progarms to Exclude from Insentric

Not all Programs inside a Marketo instance are created equal. For example, you may have programs that track membership and progression statuses—but do not have any impact or need to be tracked by Insentric. Some examples of Programs like these include:

 

  • Programs measuring a Lead Lifecycle by progression status
  • Programs performing operational items like data cleanup that also use progression statuses
  • Programs that update progression statuses often but do not provide distinct value

 

You can configure Insentric to ignore these specific Programs to streamline your reporting and prevent excessive API use on irrelevant data. Once a Program is listed under "Programs to Exclude," it will not be queried for any Program or Program Member updates, including any tracking of Program deletion. This occurs whether or not a record shows up in the "Records to Update" Smart List.

 

Setting Up Programs to Exclude

Setting up your Programs to Exclude is straightforward:
 

  1. Go to Marketo and review candidates for Programs to Exclude: While you may have some idea of Programs that are not worth tracking, you should review your instance to find potential Programs to exclude. Some steps we recommend include:
     
    • Review your list of Channels to see if there are any that stand out as noise for reporting, such as Operational or Data, that may have Programs to exclude.
    • Review Smart List results for "Program Status Changed" within a short timeframe; is the volume of changes in line with what you'd expect from one-off and ongoing marketing campaigns?
    • Review Marketing Activities for folder names (e.g., "Program Templates," "Operational," "Archive") that might have Programs to exclude inside them.
       
  2. Get organizational buy-in on Programs to exclude: Before choosing to remove Programs from Insentric, ensure all parties agree tracking is unnecessary for it first. Often, other departments or members of the marketing team may find use in seemingly odd Program membership. Getting clarity and alignment on what types of Program measurement matters will also help keep your organization in sync with what's being reported and why.
     
  3. Review your candidates for Programs to exclude: Once you've decided on a list of Programs, you'll want to double-check that these are worth excluding. Check the "Members" tab and any Smart Campaigns inside the Program to ensure you're not accidentally removing a Program from consideration.
     
  4. Login to Insentric as an Admin user and update: Finally, log in to your Insentric instance as an admin and head to Marketo Configuration → General Settings. Under the section "Exclude Program Members," you will see a dropdown list of all known Programs on file. You may either type in the Program name or select it from the dropdown list to add it as a Program to exclude.
    Note: At this time, only the Program name itself is displayed in the list of Program names. If a Program is nested, such as an Email Program inside a Default Program, only the Email Program's name will show.

    You may add as many Programs to exclude as you find relevant; an example configuration is shown below.



    Once you've added all Programs to Exclude, click "Save". Insentric will now no longer track these Programs.
